Reminders

The 9 pm reminder round, retired

Every booking gets an automatic email reminder 24 hours before and again 2 hours before, unmetered on every plan. The no-shows that were really just forgetting stop, and your evenings stop being admin.

14 days of Pro free, no card and no call. After that $19 a month flat, one price for the whole practice, or stay on the free tier.

Reminders are email today, at 24 hours and 2 hours. WhatsApp delivery is on the roadmap and is listed below as not built, not implied as built.

The honest reminder feature: two well-timed automatic emails per booking. Not a credit wallet, not a metered bundle, and not a channel we have not shipped.

Sample data. Made-up names and a made-up week, not a customer.

    What you use today

Today the reminder system is you, every single evening

The 9 pm round: open the diary, open the chat app, type the same message six times with six different times in it. Skip an evening and tomorrow's no-shows are the invoice for it.

Reminder rounds you can skip safely

Ten hours a month of typing the same sentence. That is a working day and a half, spent being a scheduling robot.

    How it works

    Step 1

The booking schedules its own reminders

The moment a booking is made, its 24-hour and 2-hour reminders are queued. Nothing to remember, nothing to configure per client.

    Step 2

    Reschedules follow automatically

When a booking moves, the reminders move with it. The 6 pm that became Thursday reminds for Thursday, not for the slot that no longer exists.

    Step 3

    Everything lands on the record

The booking, the payment and the reminders that went out sit on the client's record, so a dispute about what was sent is settled by reading, not remembering.

    Competitor reality

The market meters reminders. We do not.

Across the scheduling tools and practice suites we surveyed, reminders are usually a credit balance: SMS bundles, message credits, communication wallets. A per-message meter on your own no-show protection is a strange thing to buy.

    SMS bundles

    Category pattern
    Their price, their terms
Plans that include a fixed number of SMS per month or per year, with top-up packs sold once the bundle runs out.
Where it falls short for you
Reminders as consumables. A busy practice sending two reminders per booking burns through the included bundle, and the real price appears after the sticker.

    Communication credit wallets

    Category pattern
    Their price, their terms
Suites that meter all outbound messages as a prepaid credit balance, refillable from the vendor.
Where it falls short for you
The same pattern with a different name: messages are a wallet, so every reminder has a marginal cost and someone in the practice ends up rationing them.

    Caps stacked on caps

    Category pattern
    Their price, their terms
Entry tiers commonly cap both appointments and messages per month, with the next tier as the fix.
Where it falls short for you
Two reminders per appointment means the message ceiling arrives twice as fast as the brochure suggests, and a good month is the month you hit it.

Source: The vendors' own published pricing pages.

Every figure above is what the vendor themselves publish, or is marked as coming from a third party, and the vendors named are the ones a practice like yours would actually shortlist. Much of this category quotes per seat and bills the year upfront, so compare the cash you hand over on day one, not the sticker. Research recorded 4 August 2026. Prices move. Check the vendor's own page before you decide, and if their tool fits you better, buy theirs.

    What you are probably thinking

    Are these WhatsApp reminders?

No, and if WhatsApp is how your clients live, this matters, so plainly: reminders are email today. WhatsApp delivery is on the roadmap and until it ships nothing on this site will claim it. If WhatsApp reminders are your deciding feature, wait for us or buy a tool that has them, with their per-message credit pricing in view.

Can I change the timing or the wording?

The schedule is fixed at 24 hours and 2 hours, which covers the plan-ahead client and the forgot-today client. Custom timings and custom templates are not built yet.

Is there a limit on how many reminders I can send?

No. Email reminders are unmetered on every plan, including Free. There is no credit balance, no bundle and no per-message cost, because your no-show protection should not have a meter on it.

    Do reminders actually reduce no-shows?

We will not invent a percentage for you. What we will say: reminders catch forgetting, and payment at booking catches not-caring. operate1 ships both, and the honest measurement is your own no-show count after a month.

Reminder capability that is not built yet

Email at 24 hours and 2 hours is shipped and unmetered. These are not shipped:

    • WhatsApp reminders and confirmations. On the roadmap; not in the product today.
    • SMS reminders. Not built.
    • Custom reminder timings and custom message templates.
    • Client-facing rebooking links inside the reminder. The reminder states the booking; changes still go through you or the page.

    Get your evenings back

Put tomorrow's bookings into operate1 and skip the 9 pm round for a week. If the mornings do not feel different, the Free plan cost you nothing to find out.

What you are risking on Pro

14 days free, no card. After that $19 a month flat. Billed monthly, so the most you can ever be out of pocket is one month.

Cancel yourself in the app. No retention call, no email chain, no notice period. One-click full export is being built now. Until it lands, ask us and we send you every record we hold, in a format you can open.

Subscription fees are not refundable, so if you are unsure, stay on monthly rather than prepaying the year. Cancelling stops the next charge and your plan runs to the end of the period you paid for.

Being straight about the limit: the 14-Day Move Guarantee, where we move your records for you or your next three months are free, is on Business, not Pro. On Pro you do the import yourself.
